We are excited to share that the North Carolina Housing Officers (NCHO) 2022 Annual Conference will return to a place-based meeting this year from Monday, October 17 through Wednesday, October 19 in Greensboro, NC.

The 2020 and 2021 NCHO virtual conferences were successful with over 150 registered attendees ranging from early-career professionals, to mid-level/senior-level managers, and senior housing officers across functional areas ranging from residence life/education, to business operations, and housing/facilities from over 34 colleges and universities in the state. Our return to a place-based experience is sure to draw comparable attendance, if not more, as the professionals in our field look forward to the opportunity to engage, network, and learn from each other face-to-face.

Events

  • Closing Luncheon – Marriott Downtown Greensboro
    • One hundred-plus attendees are expected to attend the closing luncheon. We will host our keynote speaker, recognize award recipients, and announce NCHO 2023 officers. This is an excellent opportunity to have brand awareness while being verbally thanked with the opportunity to speak to the audience or show a promotional video before the keynote speaker begins!
    • Cardinal or Platinum Level – $10,000 (1 opportunity)
  • Opening Reception – The International Civil Rights Center & Museum
    • On Monday, attendees will pick-up registration materials, enjoy heavy hors d’oeuvres, and tour the museum. Energy will be high during this reception where all conference attendees are invited. By becoming the sponsor of this event, you can increase  your branding, visibility, and interact with attendees to let them know you’re there!
    • Dogwood or Gold Level – $8,000 (1 opportunity)
  • SHO Leadership Breakfast & Afternoon Panel – NC A&T State University / Marriott Downtown Greensboro
    • Senior Housing Officers from across the state gather for their half-day fall meeting on Tuesday before joining the conference at the exhibitor luncheon, and serving as panelists for a session with entering/early-career professionals. As a sponsor you will be able to connect and communicate a brief message at breakfast to the SHOs of North Carolina! You’ll also be verbally recognized before the afternoon panel to gain exposure with rising influencers and decision makers.

    • Roundtable discussions provide a wonderful opportunity for participants to get together in an informal setting to examine issues as they relate to our field for the roles we are in and/or identities we hold.   • Conference Name Badge Lanyards
    • When attendees arrive in Greensboro they will check in at registration and receive their name badge. The sponsor of the name badge will have your company logo front and center with over one hundred attendees letting them know you are at the annual conference!
  • Conference Welcome Bags
    • Another highly visible branding opportunity at the annual conference is the conference welcome bags. When attendees arrive in Greensboro they will check in at registration they will also have the option to pick up a welcome bag. Be the sponsor of the welcome bag and have your company logo prominently displayed on one side of the bag.  Your logo will literally be everywhere with attendees knowing that you are at the annual conference!

Our Exhibit Hall will be open Tuesday, October 18 from 10:30am-1:30pm. We are working hard to bring in robust attendance for in-person meetings and events, and the return on your investment for this year’s conference.

In-Person Exhibit Floor space limited to 24 vendors and two (2) representatives** per vendor. Full payment is required to reserve your booth space and must be paid within two weeks of registration to guarantee your booth space. Exhibitor registration will close on September 17, 2022. Walk-ins will not be accepted.

**A maximum of TWO (2) exhibitor representatives per table. The first Rep is included in the table registration fee and includes full day access, lunch, and a seat at the exhibitor table. A second Rep is an additional fee of $100 which includes full day access, lunch, and a seat at the exhibitor table.

  • Greensboro Marriott Downtown

  • Totally renovated hotel. Multi-million dollar hotel redesign completed in 2020, including modern guest rooms with walk in showers. Updated fitness center, meeting space, lobby, restaurant and bar. Your trip to North Carolina will be a rewarding one when you stay at Marriott Greensboro Downtown. The only Marriott hotel downtown, we’re steps from the best shopping and dining, and just 11 miles from Piedmont Triad International Airport. Booth Size + Accommodations

  • 8 ft x 10 ft
  • Exhibit tables include one six foot table, two chairs and appropriate skirting and draping.
  • Outside tables and chairs not ordered through the hotel will be charged an access fee.

Move-In/Out and Set Up

  • Vendors will be able to move in and set up on Monday, October 17, 2022 between 10:00 AM and 6:00 PM and Tuesday, October 18, 2022 between 7:00 AM and 10:00 AM. Dismantling of exhibits begins at 2:00 PM and will need to conclude by 6:00 PM.

Terms and Conditions

Space Assignment

  • Space assignment is on a first-come, first-served basis per the date and time the Exhibitor Registration
  • is received via EventBrite.
  • Requests for specific space must be received in writing and full payment must be received with the Exhibitor Registration to a guarantee space.
  • NCHO reserves the right to change location assignments at any time, as it may, in its sole discretion deemed necessary.
  • Exhibitors will be notified of their final space assignment by October 1, 2022 via email.

Facility Services

  • NCHO must be notified in advance if electricity is needed in your exhibition space. Vendors who do not notify NCHO prior to the event may not have access to power.
  • If you need to ship items to the facility, complete this shipping form by October 1, 2022.

Payment Terms

  • A non-refundable deposit of 50% is required to reserve your booth space and must be paid within two weeks of registration to guarantee your booth space. Any remaining balance must be paid by Saturday, October 1 2022. If deposits and/or open balances are not received by the stated deadline, your booth space will be released.

Cancellation

  • Cancellations must be received in writing and will be controlled by envelope postmark or email transmittal dates.In the event an exhibitor must cancel, the following refund policy applies: cancellation notice received prior to Saturday, October 1, 2022 will result in loss of 50% of the total fee.
  • No refund will be issued for cancellations received on or after Saturday, October 1, 2022. Any exhibitor canceling with a balance due is responsible for paying the remainder in full within 30 days of the cancellation.
  • As mentioned above, deposits are non-refundable.

Insurance and Security

  • Insurance of booth contents and personnel is recommended.
  • NCHO does not insure exhibitor property.
  • NCHO and the Downtown Marriott Greensboro, their respective officers, directors, employees and/or agents shall not be responsible for the safety or protection of the property or of the exhibitor, its employees and agents from any cause.
  • NCHO is not responsible for lost or stolen items.

Dismantling of Exhibits

  • Packing or dismantling of exhibits will be prohibited until after the official closing of the exhibitor floor hours.
  • Vendors are responsible for packing their own materials at the end of the show and arranging for shipping.
  • All vendors must be prepared to staff their booth until the closing of the exhibition time.

Failure to Occupy Space

  • Vendors are considered “no show” if a company does not check-in, occupy, and exhibit in the designated space by 10:00 AM Eastern on Tuesday, October 18, 2022.
  • NCHO has the right to use the “no show” exhibit space in such a manner as it may deem in the association’s best interest.
  • Failure to occupy exhibit space does not relieve the vendor from their obligation to pay the full booth rental fee. Any space not occupied prior to opening of the exhibit hall floor shall be deemed forfeited by the exhibitor and no refund shall be paid.
