Talley Student Union is the hub of student life on campus. The facility features a grand ballroom that can accommodate up to 1,200 guests; a wide variety of dining, lounge and meeting venues; recreational areas; student organization and government offices; a 2-level flagship NC State Store location; a great lawn; and advanced technology.

Booth Size + Accommodations 

  • Each booth will be 10 ft x 10 ft
  • Exhibit tables include one six foot table, two chairs and appropriate skirting and draping. 

Move-In

The Corporate Partner Co-Chairs, Jenna and Josh, will be available during these times and will be located in the Talley Student Union to answer any questions and serve as resources to our partners. 

Vendors will be able to move in at either of the following times: 

  • Wednesday, October 18, 2023 between 12:00 p.m. and 5:00 p.m.
  • Thursday, October 19, 2022 between 7:00 a.m. and 8:00 a.m.

Move-Out

Dismantling of exhibits begins on Thursday, October 19 at 3:00 PM and will need to conclude by 6:00 PM. More take down details listed below. 

The Exhibit Hall

Our Exhibit Hall will be open Thursday, October 19 from 8:00 a.m. – 3:00 p.m. Conference attendees will be able to eat breakfast and lunch in the Exhibit Hall during the day. This will give Corporate Partners more opportunities to connect with all attendees ranging from entry level professionals to chief housing officers. 

The diagram below shows what the Exhibit Hall will look like. Due to the size of each booth, the hall will hold 20 booths for the conference. Registration will be on a first come, first serve basis.

Corporate Partner Registration

Registration Costs

Regular Registration (June 1, 2023-August 31, 2023)

Corporate Partner Booth $400 + Eventbrite fees + taxes

Late Registration (September 1st, 2023-October 4, 2023)

Corporate Partner Booth $500 + Eventbrite fees + taxes

Each Corporate Partner Booth will include one representative in the table registration fee and includes full day access to breakfast, lunch, and a seat at the exhibitor table. A second representative is an additional fee of $100.00 which includes full day access, breakfast, lunch, and a seat at the exhibitor table. 

Full payment is required to reserve your booth space and must be paid within two weeks of registration to guarantee your booth reservation. Walk-ins will not be accepted. Payment can be made through check or via Eventbrite website.

Sponsorship Tier Opportunities

Sponsorship is another way to participate in the NCHO Conference. The NCHO Sponsorship structure has been redeveloped to include specific outlined opportunities that your company will receive to match the level of sponsorship you choose. While sponsorship is not required, it is a strong benefit to your organization to receive the maximum return on your investment. The sponsorship tiers list out each level of sponsorship and the benefits you will receive. 

Tier One (Silver): $500

Sponsorship Payment

A non-refundable deposit of fifty percent (50%) is required to secure your sponsorship and must be paid within two weeks of registration to guarantee your commitment. Sponsorship registration will close on Friday, October 13, 2023. Walk-ins will not be accepted.

Electronic payment may be submitted via the virtual event site here. Please note that there is a service fee of $1 + 2% and 3% credit card processing added to all electronic payments. 

Terms and Conditions 

Space Assignment 

  • Space assignment is on a first-come, first-served basis per the date and time the Corporate Partner Registration is received via EventBrite. 
  • Requests for specific space must be received in writing and full payment must be received with the Corporate Partner Registration to a guarantee space. 
  • NCHO reserves the right to change location assignments at any time, as it may, in its sole discretion deemed necessary. 
  • Corporate Partners will be notified of their final space assignment by Thursday October 5, 2023  via email. 

Booth Needs

  • NCHO must be notified in advance if electricity is needed in your exhibition space. Vendors who do not notify NCHO prior to the event may not have access to power. 
  • Corporate Partners will need to bring or ship their own tools to put together any displays, if needed. 
  • For any other booth needs, please contact Jenna Jeslis (jdjeslis@ncsu.edu) so we are prepared for your conference needs. 

Payment Terms 

  • A non-refundable deposit of 50% is required to reserve your booth space and must be paid within two weeks of registration to guarantee your booth space. 
  • Any remaining balance must be paid by Friday, October 20, 2022. 
  • If deposits and/or open balances are not received by the stated deadline, your booth space will be released.

Cancellation 

  • Cancellations must be received in writing and will be controlled by envelope postmark or email transmittal dates. In the event a Corporate Partner must cancel, the following refund policy applies: cancellation notice received prior to Wednesday, October 4, 2023 will result in loss of 50% of the total fee. 
  • No refund will be issued for cancellations received on or after Friday, October 6, 2023. Any exhibitor canceling with a balance due is responsible for paying the remainder in full within 30 days of the cancellation. 
  • As mentioned above, deposits are non-refundable. 

Insurance and Security 

  • Insurance of booth contents and personnel is recommended. 
  • NCHO does not insure exhibitor property. 
  • NCHO and the North Carolina State University, their respective officers, directors, employees and/or agents shall not be responsible for the safety or protection of the property or of the exhibitor, its employees and agents from any cause. 
  • NCHO is not responsible for lost or stolen items. 

Exhibits 

  • CPs are welcome to ship packages and use the loading dock in Talley Student Union.If you need to ship out any of your exhibit materials, you will need to package and label the item and Event Services will provide service to ship out packages.
  • Packing or dismantling of exhibits will be prohibited until after the official closing of the exhibitor floor hours. 
  • All vendors must be prepared to staff their booth until the closing of the exhibition time.

Failure to Occupy Space 

  • Vendors are considered “no show” if a company does not check-in, occupy, and exhibit in the designated space by 8:00 AM Eastern on Thursday, October 19, 2023. 
  • NCHO has the right to use the “no show” exhibit space in such a manner as it may deem in the association’s best interest. 
  • Failure to occupy exhibit space does not relieve the vendor from their obligation to pay the full booth fee. 
  • Any space not occupied prior to opening of the exhibit hall floor shall be deemed forfeited by the exhibitor and no refund shall be paid.
