Booth Amenities
All booths will include one table, one chair, and Corporate Partner provided meals. If you selected a double or a triple booth, you will have additional tables and chairs provided. If you need access to power, please let us know when registering.
Conference Add-ons
If you would like additional representatives to participate, you will need to purchase additional representative registration per Corporate Partner attendee. Cost per additional attendee is $100 (includes name badge, extra chair at the booth, and Corporate Partner provided meals).
Additional Information
Full payment is required to reserve your booth space and must be paid within two weeks of registration to guarantee your booth reservation. Walk-ins will not be accepted. Payment can be made via registration website.

Cancellation Policy:
- Registration cancellations on or prior to September 4 will receive a 100% refund.
- Registration cancellations between September 4 and September 18 will receive a 50% refund.
- Refunds will not be given for any registration cancellations after September 18
- Cancellation requests must be received via email to conference-chair@ncho.org and business@ncho.org
- Registrations can be transferred prior to October 1 by emailing conference-chair@ncho.org.
- Beginning October 2, no registrations may be transferred.

Corporate Partner Guidelines
Eligibility to Exhibit – Companies with an intended business interest in College and University Residence Life environments are invited to participate in NCHO’s annual conference and Expo, a ‘trade-only’ exposition and educational conference.
Sublease – Subletting, assigning, splitting/sharing or apportioning any part of the space allotted to anyone other than the Corporate Partner who has contracted with NCHO is strictly prohibited.
Security – NCHO in its discretion may provide security and take steps to safeguard Corporate Partners’ property. However, the provision of this service shall not be construed to be an assumption of obligation or duty with respect to the protection of the property of Corporate Partners, which shall at all times remain in the sole possession and custody of each Corporate Partner and shall be the sole responsibility of each Corporate Partner.
Exhibit Requirements & Restrictions – Use of Space: All demonstrations, promotions, or other sales activities in the Exhibit Hall must be confined to the limits of a Corporate Partner’s contracted exhibit space. The aisles, passageways, and overhead spaces remain strictly under control of NCHO and no signs, decorations, banners, advertising material, or special exhibits will be permitted in the aisles except by written permission of NCHO. It is the Corporate Partner’s responsibility to bring a display that fits within the contracted space.
Line of Sight Restriction – Regardless of the number of linear booths utilized, display materials should be arranged in such a manner so as not to obstruct sign lines of neighboring Corporate Partners.
Fire & Safety Regulations – All local regulations will be strictly enforced, and the Corporate Partner assumes all responsibility for compliance with such regulations. All decorations must be flameproof. No combustible materials, merchandise, or signs shall be attached to, hung, draped over, or stored in or around the Corporate Partner’s booth(s) or under tabletops.
Demonstrations – As a matter of safety and courtesy to others, Corporate Partners must conduct sales presentations and product demonstrations in a manner which assures all Corporate Partner personnel and attendees are within the contracted exhibit space or designated exhibitor workshop areas and not encroaching on the aisle or neighboring exhibits. It is the responsibility of each exhibitor to arrange displays, product presentations, and demonstration areas to ensure compliance. Use of any mascots,
vehicles, or animals are prohibited unless approved in advance by NCHO.
Labor – NCHO is not responsible for labor issues, shipping delays, or materials shipped via other methods.
Distribution of Materials/Canvassing – Canvassing, exhibiting, or distributing advertising or other matter outside the designated exhibit area contracted is prohibited. People who are not exhibitors are prohibited from any detailing, exhibiting, or soliciting within the conference center or conference hotels. No Corporate Partner is to distribute samples and printed materials outside of their assigned exhibit space without written approval from NCHO. Materials distributed without approval will be confiscated and Corporate Partner could be ejected from the Exhibit. Just as NCHO values diversity, equity, and inclusion across all aspects of college and university residence life, it is expected that all Corporate Partners will display products, services, and materials that reflect this priority. Corporate Partner materials at the conference do not reflect the values, policies, opinions, or endorsement of NCHO and NCHO makes no representation concerning and does not guarantee the source, originality, accuracy, completeness, or reliability of any statement, information, data, finding, interpretation, advice, opinion or view presented.
Care of Premises & Compliance/Exhibit Hall Regulations – No part of the Corporate Partner signs or other materials may be pasted, nailed, or otherwise affixed to walls, doors, or other surfaces in a way that might deface the premises or booth equipment and furnishings. Nothing may be rigged, suspended from, or attached to any Conference Center mechanical system. Damage from failure to observe this notice is payable directly by the Corporate Partner to the Conference Center.
Americans with Disabilities Act (ADA) – All exhibiting companies are required to be in compliance with the Americans with Disabilities Act (ADA) and are encouraged to be sensitive, as reasonably accommodating as possible to attendees with disabilities.
Forfeiture/Right to Remove Corporate Partner’s Property – If a Corporate Partner does not follow the rules and regulations set by NCHO, the Corporate Partner shall forfeit the amount paid for space rental and contracted space, regardless of whether or not the exhibit space is subsequently leased. NCHO reserves the right to remove from the Exhibit Hall any or all of the property of the Corporate Partner should the conference be canceled or relocated or should the Corporate Partner violate any of the conditions of the Corporate Partner Guidelines. This right may be exercised without prior notice or
hearing.
Interpretation & Enforcement – These terms and conditions become part of the Agreement between the Corporate Partner and NCHO, as well as their officers, directors, employees, agents, successors, and assigns NCHO has full power of interpretation and enforcement of these rules. All matters in question not covered by these regulations are subject to the decision of NCHO and all decisions so made shall be binding on all parties affected by them as by the original regulations. In addition to the above terms and conditions, NCHO reserves the right to cancel or refuse rental of display space without refund and/or to refuse admission to future exhibits to any person or company whose conduct or display of goods is, in the opinion of NCHO, incompatible with the general character and objectives of the organization.
Force Majeure – NCHO shall not be financially obligated or otherwise committed if the conference is canceled or deferred on account of strikes, fires, casualties, war, government regulation, civil disorder, curtailment of transportation, facilities, acts of God, pandemics, or other causes beyond its control.
